1. Who we are

SkyAgent (skyagent.com.au) is an AI-powered candidate interview platform operated by Digifix Pty Ltd("SkyAgent", "we", "us", "our"), an Australian company. SkyAgent conducts automated phone screening interviews on behalf of recruitment agencies and delivers the results into the agency's applicant tracking system (JobAdder).

We are committed to handling personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what information we collect, why we collect it, and how we handle it.

2. Information we collect

From recruitment agencies (our customers)

• Account details: business name, contact names, email addresses, and phone numbers.
• JobAdder connection data: OAuth access and refresh tokens that allow SkyAgent to act on the agency's behalf. We never collect or store JobAdder passwords.
• Configuration data: job details, interview questions, and status mapping preferences.

About candidates

• Application details received from JobAdder: name, phone number, email address, and the role applied for.
• Interview data: call recordings, transcripts, and call metadata (such as time, duration, and call outcome).
• AI-generated evaluations: summaries, scores, and recommendations produced from interview transcripts.

3. How we use information

• To conduct and record automated screening interviews.
• To transcribe and analyse interviews and produce evaluations for the recruitment agency managing the role.
• To update candidate records and statuses in the agency's JobAdder account.
• To operate, secure, support, and improve the SkyAgent platform.
• To meet our legal obligations.

We do not sell personal information, and we do not use candidate data for advertising.

4. Call recording

SkyAgent interviews are conducted by an AI voice agent and are recorded and transcribed. Candidates are informed at the start of each call that the call is automated and recorded. Recruitment agencies using SkyAgent are responsible for ensuring their use of call recording complies with the laws that apply to them.

5. Third-party service providers

We use a small number of service providers to deliver the platform:

• JobAdder — the applicant tracking system we integrate with, as authorised by the recruitment agency.
• Voice AI provider — to place and conduct automated phone calls and produce transcripts.
• AI analysis providers — large language model services used to evaluate interview transcripts.
• Cloud hosting and storage providers — to run our infrastructure and store data securely.

We share only the information each provider needs to perform its function. Some providers may process data outside Australia; where they do, we take reasonable steps to ensure it is handled consistently with the APPs.

6. Storage and security

• All data is transmitted over encrypted (HTTPS) connections.
• OAuth tokens and other sensitive credentials are encrypted at rest.
• Access to personal information is restricted to personnel who need it to operate and support the platform.
• Incoming webhooks from integrated services are verified before they are processed.

7. Data retention

We retain interview recordings, transcripts, and evaluations for as long as needed to provide the service to the recruitment agency, or as required by law. Agencies may request deletion of interview data at any time, and we delete or de-identify data when it is no longer required.

8. Access, correction, and complaints

You may request access to, or correction of, the personal information we hold about you. Candidates may also direct requests to the recruitment agency handling their application, and we will assist the agency in responding.
